Job Title: Non-Clinical Team Leader

Reports to: CEO

Location: Bassetlaw Hospice

Employment Type: Full time

Overview

The Non-Clinical Team Leader is responsible for managing all administrative and operational support functions for the clinical team, ensuring efficient service delivery and compliance. This role provides managerial and leadership support for the facilities team, volunteer programs, financial oversight, and system administration, while supporting the Director of Clinical Services and Clinical Team Leader with operational tasks. This role will also manage quality improvement projects within the non-clinical area.

Key Responsibilities

Administrative Support for Clinical Team

  • Coordinate scheduling for clinical staff, meetings, and training sessions.
  • Maintain accurate patient records, including archiving, ordering and secure storage of notes.
  • Liaise with coroner/medical examiner as required and keep up to date with the process and formalities of registering deaths.
  • Oversee administrative processes for compliance and reporting.
  • Manage petty cash transactions and maintain accurate financial records.
  • Handle procurement and inventory of non-clinical supplies.

Systems Management

  • Ensure accurate and timely data entry and reporting using SystemOne, IROTA, and Ulysses.
  • Troubleshoot system issues and liaise with IT support as needed.
  • Train and support staff and volunteers on system use and maintain user access controls.

Facilities Management

  • Oversee waste management contracts and ensure compliance with health and safety regulations.
  • Schedule and monitor equipment servicing and maintenance.
  • Manage housekeeping rosters and ensure cleanliness standards are met in collaboration with the clinical team and external IPC auditors.
  • Liaise with external contractors for repairs, servicing, and facility improvements in collaboration with the maintenance team.

Volunteer Management

  • Develop and implement volunteer recruitment strategies in line with hospice values.
  • Coordinate onboarding, training, and orientation for new volunteers.
  • Maintain volunteer engagement and retention through recognition and feedback.
  • Plan and organise volunteer activities and schedules.

Project Planning & Leadership

  • Support the Clinical Team Leader in planning and delivering operational projects.
  • Monitor project timelines, resources, and deliverables.
  • Prepare reports and updates for the CEO and Director of Clinical Services

Compliance & Safety

  • Ensure adherence to organisational policies, health and safety standards, and regulatory requirements.
  • Conduct regular audits of facilities and administrative processes.
  • Attend Governance meetings and provide suitable reports and feedback for these meetings.

Team Leadership

  • Supervise non-clinical staff and volunteers, providing guidance and performance feedback.
  • Foster a positive and collaborative work environment.
  • Act as the first point of contact for operational issues and escalate as needed.
  • Utilise leadership skills to keep the team productive and proactive.
  • Hold the team to account for their actions, and adequately manage absence, conduct and capabilities within your team.

Skills & Qualifications

  • Strong organisational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Experience in facilities management, administrative coordination, and financial oversight.
  • Knowledge of volunteer management best practices.
  • Proficiency in MS Office and healthcare systems (SystemOne, IROTA, Ulysses).
  • Ability to lead and motivate a diverse team.

 

Desirable Experience

  • Previous experience in healthcare or community service settings.
  • Familiarity with compliance standards in healthcare environments.
  • Understanding of palliative services in the Bassetlaw area.
